This policy describes, in plain language, what ExamPilot AI actually collects and does with your data today. It has not yet been reviewed by a lawyer — treat it as a good-faith, accurate description of current practice rather than a finished legal document.
What we collect
When your institute admin or ExamPilot AI creates your account, or when you submit a Request Access form, we collect:
- Account details: name, email address, and (optionally) mobile number, target exam, and target score.
- Login credentials: your password is never stored in plain text — it's hashed before it touches our database.
- Test activity: your answers, submissions, scores, and AI-generated feedback for any practice or mock test you take.
- Request Access form data: name, work email, and whatever else you choose to share (phone, organisation, role, message), plus the IP address the request came from, used only for spam prevention.
- Institute data: if you're an institute admin, your institute's name, contact details, and any branding (logo, colour) you configure.
How we use it
- To run your account and let you (or your students) use the platform.
- To evaluate writing and speaking submissions — this means the relevant submission content is sent to our AI provider for scoring and feedback. We do not send your name or email to the AI provider as part of this — only the content being evaluated.
- To generate your performance reports and PDF downloads.
- To respond to enquiries submitted through the Request Access form.
- To keep the platform secure — for example, rate-limiting repeated login or form-submission attempts from the same IP address.
What we don't do
- We don't sell your data.
- We don't use your test content or personal data to train third-party AI models beyond the evaluation request itself.
- We don't share your data with anyone outside your own institute, except the AI provider used to evaluate your submissions.
Your data, your control
You can update your profile details from your account settings at any time. To request a copy of your data, or to have your account and data deleted, contact himanshu@edlogica.com.
